At some point I realized I was repeatedly solving the same problem.
Every trip started with the same ritual:
“Where is that gear?”
“How much does it weigh?”
“Do I still own it?”
“Did I lend it to someone?”
“Is it already packed?”
“Do I need it for this objective?”
None of these questions are particularly difficult.
They’re just annoying.
And after enough backpacking trips, mountaineering objectives, gear purchases, and equipment upgrades, the problem slowly becomes larger than your memory.
So I stopped trying to remember everything.
I built a system instead.
What It Does
The Expedition Inventory System is not a packing list.
It’s a gear database.
Every piece of equipment exists exactly once.
Weight.
Category.
Quantity.
Purchase date.
Inclusion status.
From there, individual packing lists become much easier to build.
Instead of asking:
“What should I bring?”
You start asking:
“What does this objective require?”
Those are very different questions.
Why Weight Matters
Weight influences almost everything.
Comfort.
Speed.
Fatigue.
Food requirements.
Footwear choices.
Recovery.
Yet most people still track gear using methods that would make Excel cry quietly in a corner.
The goal of this system is not ultralight obsession.
The goal is visibility.
You can’t optimize what you can’t see.
Systems Over Memory
Human memory is surprisingly bad at inventory management.
Mine included.
I don’t want to remember every item I own.
I want a system that remembers it for me.
That’s the entire philosophy behind this spreadsheet.
Less cognitive load.
More useful information.

This is probably useful if you:
- backpack regularly
- mountaineer
- own too much gear
- keep buying gear
- repeatedly ask yourself where your gear is
If you own one backpack and three items of equipment, this may be excessive.
If your gear collection has started behaving like a small logistics company, you’ll probably understand immediately why I built it.
Final Thoughts
This spreadsheet doesn’t make you stronger.
It doesn’t make your pack lighter.
It doesn’t make the mountain easier.
It simply removes friction.
And I’ve found that removing friction solves a surprising number of problems.
